Moving off spreadsheets or an old CRM: how migration and the 14-day demo work
Dry run, validation report, import, rollback. Then 14 days with real logins before you commit.

Most teams stay on a CRM they dislike, or a spreadsheet they have outgrown, out of fear of the move, not the price of the new system. Lost records, broken columns, a week of double entry, no way back if it goes wrong. Naya CRM's migration engine was built to remove each of those fears in turn, and the 14-day demo exists so you can see it before you decide.
What you can bring across
- A spreadsheet: CSV or XLSX.
- A Salesforce export.
- A SQL dump from an older system.
Smart column mapping reads your headers and proposes where each column lands: company, contact name, email, phone, stage, value, owner, notes. You confirm or change the mapping before anything is written. Custom fields on companies, people, opportunities and candidates can be created to receive columns that do not fit the defaults, including pick lists and multi-select lists.
Dry run first, always
The import runs as a dry run before it runs for real. You get a row-by-row validation report: which rows would import cleanly, which have a problem, and what the problem is. A badly formatted phone number, an email with a space in it, a stage name that does not match your pipeline, a duplicate of a row already on the board.
Fix the source file or adjust the mapping, run the dry run again, and import only when the report is clean enough for you. Nothing touches the board until you say so.
Clean on the way in
Leads are standardised as they are saved and scored for completeness. Duplicates are flagged for a person to merge. They are never deleted automatically, and the merge is a human decision.
If you keep a Salesforce org per client, the import turns each org into one company with a lead per client, so a multi-client desk arrives organised rather than flattened.
One-click rollback
If the imported data is not right once you see it on the board, roll the whole import back with one click. The board returns to the state before the import. Then adjust and run again. The About page quotes the scale this has been used at: more than three thousand leads migrated in a single import.
Your data stays yours
An admin can export the whole workspace at any time. A right-to-erasure tool removes one person from every table. Every organisation's data is walled off at the database layer: no shared tables, no cross-tenant access. If you ever leave, you take the data with you in the same formats you brought it in.
After the import: Naya gets to work
This is where moving to Naya CRM is different from moving between filing cabinets. Imported leads land in the New Lead column. Assign owners, and Naya begins researching: company registry, website, maps listing and people search, with a confidence score and a source link on every proposed value. Gaps in your old data, missing websites, missing phone numbers, missing decision makers, are filled as proposals for a person to approve.
Then the first-touch drafts are written in your brand's voice and wait in Action Required. Your reps' first morning on the new system is spent approving, not re-typing.
The 14-day demo
For teams of ten or more, the path is a 30-minute Zoom walkthrough, then 14 days of demo logins to a populated workspace. Your managers and a few reps work the board, open the side drawer, approve a draft, run a sequence across email and WhatsApp, log a call on the Calls page, and drag a card to Verbal Agreement to watch the agreement and payment link appear.
The demo is there to answer the questions a slide cannot: does the pipeline fit the way we sell, do the reps like it, can the manager get the report they need. Reports group leads, deals, activities or opportunities by stage, rep, campaign, kind, month or outcome, and saved reports can arrive by email or in Slack on a schedule.
Alongside the logins you receive a seat-for-seat pricing comparison: your actual seat count on the rand price list against the published prices of the system you use today, plus the usage rate card for SMS, WhatsApp and voice.
For smaller teams
A team of one to a handful does not need the enterprise path. Create a free account with two seats, import your spreadsheet with the same dry run and rollback, and upgrade to Starter at R349 or Pro at R699 per user per month when you are ready. There is a 30-day money-back guarantee on paid plans, and every new account gets the walkthrough inside the app plus a written guide.
What to have ready
- Your export: CSV, XLSX, SQL or a Salesforce export.
- Your stage names and what each one means.
- Your call outcomes and deal kinds, if you have them.
- Who owns which leads.
With those four things, the dry run tells you before lunch whether the import is right.
