Walk in at 8: what an agentic CRM does overnight

The daily loop inside Naya CRM: research, drafts, approvals, bookings and the deals that have gone quiet.

13 October 2026 · Naya CRM by Appetite Technology

Most CRMs are empty when you arrive in the morning. Not empty of data. Empty of work done. Every record is exactly where you left it, and the first hour of the day goes on finding out what to do next.

Naya CRM is built on a different assumption: the CRM should do the work, and a person should approve it. Here is what that looks like across one day.

Overnight: research on every new lead

Every lead that landed yesterday, whether imported, mined or added by hand, moves into the Naya Researching column. Naya looks up the company registry, the website, the maps listing and people search, and leaves a source trail for each finding. It fills the gaps on the record: address, phone, website and socials. Each value arrives as a proposal with a confidence score and a source link, not as a fact.

For companies with a buying committee, Naya, working with several partner data providers, finds the CEO, CTO or VP behind the business and records their roles and seniority. Contact records are deduplicated as they are saved.

Overnight: the first draft

Once the research is done, Naya writes the first-touch email in your brand's voice. Each campaign has a Conversation DNA: a master prompt, proof points, the brand's voice and reference sequences. Every draft follows the same shape. One specific hook, a short body, one ask. The ask is a single button: book a call, start a trial, or receive a call. Never three buttons.

If the committee has three personas, Naya writes a different email for each one.

8:00: start in Triage

Triage is one ranked worklist across every campaign. Cards are sorted hottest first, so the top card is your best use of time. The heat score is built from opens, clicks, replies, meetings and recency, and it decays, so cold leads stop stealing attention. A red flame means call today.

Then the inbox. Email, SMS and WhatsApp replies land in one thread per lead. You read the whole conversation in one place, not across three apps.

8:15: approvals, not data entry

The Action Required column holds the drafts that are ready. Open a card and the side drawer shows contacts, past emails and calls, Naya's research and the deal value. Read the draft, edit if you want to, and send. Naya never sends alone.

Research proposals work the same way. Approve writes the value to the lead. Reject asks why: wrong business, wrong country, wrong value, or a note. Flag a wrong Google match once and it never comes back for that lead. Neighbouring businesses that turned up during research are parked for a person to add or dismiss. Nothing enters the board on its own.

The rule the team works to is simple. If Action Required is empty by lunch, you had a good morning.

During the day: bookings create themselves

When a prospect clicks "book a call", they land on your branded booking page showing real slots from your calendar. Picking one creates the Zoom meeting, the calendar invite and the confirmation. The lead jumps to the top of Triage with a task due at call time. After the call, the transcript and an AI summary are on the lead.

If a prospect asks for a call back from an email, Naya's voice agent can ring them back and hand the live call to the right rep with a one-line heads-up. Every call gets a transcript and a write-up on the record.

During the day: the sequence keeps going

Switch the drip on for a campaign and Naya sends touch two, three and four on schedule, inside working hours. Day 1 email, Day 2 WhatsApp, Day 4 email, on through Day 8. Each touch is written fresh from the campaign's DNA and the lead's research, and Naya knows what was already sent, so nothing repeats. The moment they reply on any channel, book, ask for a call or unsubscribe, the sequence stops.

End of day: the quiet deals

The Calls page sets daily targets for calls and connected conversations per rep, with an end-of-day check. The dashboard by campaign shows calls, connected conversations, contact-score moves, stage moves and account coverage, including the companies not yet called. Renewals and open support cases show on the same dashboard, so a customer going quiet is as visible as a prospect going cold.

Targets update live, so you always know whether you are on pace.

What a person still does

Everything that matters. Choose who to work first. Approve the email. Make the call. Log the outcome. Drag the card to Verbal Agreement, at which point Naya drafts the agreement from your template and attaches a Paystack payment link. When it clears, the card advances to Closed Won by itself.

That is the loop. Research, draft, approve, book, chase, close. Naya does the typing. Your team does the selling.
