Why your reps hate your CRM, and what "no data entry" actually means

A CRM that only stores what already happened is a tax on selling. Here is how Naya CRM removes the typing without removing the record.

Ask a sales rep why they dislike the CRM and the answer is rarely about the software. It is about the hour a day spent feeding it. Look up the company. Paste in the address. Find the decision maker. Write the email. Log the call. Update the stage. None of that is selling, and all of it is required, because if it is not logged, it did not happen. Managers want the record. Reps want the time. Most CRMs make them fight over it.

The filing cabinet problem

A traditional CRM is a filing cabinet that charges per seat for the privilege of typing into it. It is excellent at storing what already happened. It does nothing about what should happen next. The research is not done. The follow-up is not written. The proposal sits in someone's drafts folder.

Appetite Technology built Naya CRM after years of watching good sales teams lose deals to admin. The fix was not a better form. It was a CRM that does the work itself and asks a person to approve it.

What "no data entry" means in practice

It does not mean fields vanish. It means a person stops being the one who fills them. Here is where the typing goes.

  • Company details. Naya researches the company registry, website, maps listing and people search, and proposes the address, phone, website and socials with a confidence score and a source link each.
  • Decision makers. Naya, working with several partner data providers, finds the CEO, CTO or VP and records their role and seniority. Contacts are deduplicated as they are saved.
  • The first email. Naya writes it from the campaign's Conversation DNA: one hook, a short body, one ask, in your brand's voice.
  • Follow-ups. The sequence sends touch two, three and four on schedule and stops the moment they reply.
  • Call notes. Voice notes are transcribed. Meetings on Zoom and Google Meet sync with transcripts and AI summaries. Naya's own calls get a transcript and a write-up on the lead.
  • Email filing. A rep can connect a Microsoft 365, Outlook.com or Gmail mailbox and every email to or from a lead is filed on the timeline, read-only. Naya never sends from that mailbox.
  • Dialler logs. An outside dialler such as JustCall posts each finished call and its outcome onto the lead.
  • Stage moves at the close. Drag a card to Verbal Agreement and Naya drafts the agreement, generates the Paystack payment link and sends the signature request. When the payment clears, the card advances itself.

What remains for the rep is a one-click outcome on the Calls page, and a yes or no on each proposal.

The approval is the data entry

This is the part that matters for managers. Every proposal Naya makes is a task a person accepts or rejects. Approve writes it to the lead. Reject asks why: wrong business, wrong country, wrong value, or a note. A rejected Google match is blocked for that lead forever.

So the record is still built by a human decision. It is just a decision that takes two seconds instead of a search, a copy and a paste. The audit trail records every move on the board, and every call and email becomes an interaction on the timeline.

Nothing reaches a customer without a person pressing send. Naya drafts, scores and suggests. It never sends alone.

What the rep sees instead

A rep's morning in Naya CRM starts in Triage, one ranked worklist across every campaign, sorted hottest first. The heat score is built from opens, clicks, replies, meetings and recency. A red flame means call today. Below that, the inbox: email, SMS and WhatsApp replies in one thread per lead.

Open a card and the side drawer has everything: contacts, past emails and calls, Naya's research and the deal value. The draft is waiting. Read, edit, send. Log the outcome in one click.

The board supports swipe on a phone, and the app is mobile-first from Starter upwards.

Why this is good for managers too

Because the typing is gone, the numbers are honest. Daily targets for calls and connected conversations per rep come with an end-of-day check. The dashboard by campaign shows calls, connected conversations, contact-score moves, stage moves, account coverage and each rep's figures. The report builder groups leads, deals, activities or opportunities by stage, rep, campaign, kind, month or outcome, and saved reports arrive by email or in Slack on a schedule.

The data is complete because nobody had to remember to enter it.

A note on honesty

Naya is software, not a person. On the phone it says it is the AI assistant whenever anyone asks, and by default at the start of every call. The research it proposes carries a source. The emails it drafts wait for approval. A CRM that does the work still needs people who own the outcome.
