What Naya CRM is
Naya CRM is an agentic sales CRM built by Appetite Technology, a software company founded in South Africa in 2012. It looks like a monday.com-style Kanban board, but an AI teammate called Naya does the work between the cards: researching leads, finding the buying committee, drafting outreach, scoring intent and preparing closing paperwork. It is multi-tenant, role-based and mobile-first. Unlike monday.com, ClickUp or Zoho, the AI is included in every plan rather than sold as an add-on.
The board runs seven stages: New Lead → Naya Researching → Action Required → Copilot Review → Verbal Agreement → Closed Won, with Closed Lost at the end for leads that said no, so they leave the open pipeline and every sequence but stay on record. Cards are drag-and-drop with a full stage-change audit trail, and the board can re-sort itself by predictive heat so the warmest leads sit at the top.
Naya researches each lead's digital footprint, identifies gaps, drafts persona-tailored email, SMS and WhatsApp messages (with translations), summarises calls and suggests the next best action. Voice notes are supported. Naya runs in Copilot Mode: drafts land in the Copilot Review column and nothing is sent externally until a human approves it. Naya never quotes prices or delivery dates to a client unless a manager supplied them.
Waterfall enrichment finds the real decision makers — CEO, CTO, VP of Product and more — using Naya, Appetite Technology's proprietary AI, working with several partner data providers. Each contact gets a persona-tailored message rather than one generic email to a shared inbox.
Every open, click and reply feeds a heat score with exponential decay, so stale interest cools automatically. Hot leads are flagged and surfaced in a dedicated triage inbox, and the Kanban board can be ordered by heat.
Moving a card to Verbal Agreement triggers the final mile: Naya drafts the MSA, generates a payment link and issues an e-signature request. The signed document, payment status and deal events are all recorded against the lead.
Team Hub is a Slack-like real-time internal chat with AI summaries of anything shared. Meetings sync from Zoom and Google Meet with transcription and AI summaries, calendars sync with Google Calendar, WhatsApp runs through Meta's WhatsApp Business Platform, SMS through WinSMS, and AI voice calls through ElevenLabs.
Upload your own docs, case studies and battlecards and Naya answers from them using retrieval (RAG). Naya also generates proof-of-concept wireframes and proposals with branded PDF/DOCX export, runs scheduled "Naya Miner" prospecting hunts that inject new qualified leads, and researches, drafts and schedules social posts through Metricool.
Every campaign carries a Conversation DNA: the brand's master prompt, voice and banned words, what a hook may name, proof points Naya may quote, a reference outreach sequence, who signs, the support landline and WhatsApp, and which asks are on offer. Naya drafts every email, SMS and WhatsApp for that campaign from it, in a fixed frame of hook, body and one call to action. Emails go out from the campaign's own sending domain in a branded shell: logo, the hook large, the body, one button (Book a call, Start a trial, or Receive a call from an agent), the signature, a support line, a legal footer and a one-click unsubscribe that is honoured automatically.
“Book a call” takes the prospect to the campaign's own booking page with fifteen-minute slots from the booking owner's Google Calendar. Picking one creates the Zoom meeting, puts it on the calendar with the prospect invited, emails a branded confirmation with the join link, records a call-booked signal and creates a task for the BDR. Each workspace can connect its own Zoom. Campaigns can also run an automated sequence: with the switch on, touches go out on schedule (for example Day 1 email, Day 2 WhatsApp, Day 4 email) inside the sending window, each drafted fresh by Naya from the DNA and the lead's research. The sequence stops the moment the person replies on any channel, books, asks for a call-back, unsubscribes or the lead converts. A person starts or stops any lead's sequence from the lead's Send tab; a campaign can also auto-enrol researched leads.
Naya's research lands as proposals with a confidence score and a source, not as silent edits. Only an exact Google Business match in the right country and town is applied on its own; a close match is held until a person approves one of its values. Reviewers approve or reject each proposal, and a rejection carries a reason: wrong business, wrong country, wrong value or a note. A wrong-business flag drops the Google profile, withdraws every value from it and blocks that match for the lead permanently; managers see every flag in one queue. Neighbouring businesses Google returns during research are parked as discovered leads for a person to add or dismiss, filtered to the campaign's kind of organisation and country.
Import from a SQL dump, CSV or XLSX. The importer does smart column mapping, header detection and type inference, a dry-run preview, a row-by-row validation report, foreign-key checks and one-click rollback. Real migrations have moved 3,000+ leads with notes, tasks, reminders and tags intact.
Four role tiers: Main Administrator, Dev Team, Manager and BDR. Each has its own dashboard and approval queues, and each can be given a different level of Naya autonomy.
There is a Free plan: 2 seats, 500 AI credits a month, no card required. Paid pricing is per user per month: Starter $19 / R349 (8,000 AI credits, Kanban, contacts, tasks, voice notes, email outreach), Pro $39 / R699 (25,000 AI credits for Naya chat and research, buying-committee enrichment, email/SMS/WhatsApp outreach, approvals), Team $69 / R1,249 (75,000 AI credits plus everything in Pro, 4-tier role-based access, manager reporting, Team Hub with Naya summaries, webhooks and the integration directory) and Enterprise, which is quoted. Annual billing gives roughly two months free. Taxes are calculated at checkout and you can cancel any time.
South African customers see a local ZAR price list (R349 Starter, R699 Pro, R1,249 Team per user per month) and pay through Paystack; everyone else is billed in USD by default. No card is required to start on the Free plan (2 seats, 500 AI credits), and migration help is included. There are no AI add-on fees and no seat minimums. Research and writing both come out of the plan's AI credits: writing an email uses about 3 credits and a call write-up about 2, while researching a lead uses 5 to 30 credits, about 20 on average, because each lookup draws on paid data sources. Messages are invoiced monthly as used: SMS R0.45 a part, WhatsApp R1.20 per marketing message and R0.20 per other message, and AI voice calls R3.50 a minute.
Every organisation is isolated at the database level with row-level security, so no workspace can read another's records — even through the API. Access is role-scoped, credentials for third-party integrations are encrypted at rest, and inbound webhooks are signature-verified.
Data handling is aligned with POPIA and GDPR: encryption in transit and at rest, audit trails on stage changes and approvals, role-scoped access, and export or deletion on request. Enterprise plans can discuss data residency and SSO.
The Terms of Service cover acceptable use, subscription and billing, responsibility for AI-generated output (you review before it is sent), suspension, liability limits and governing law in South Africa.
You own your customer data; Appetite Technology processes it on your behalf. The privacy policy lists what is collected, the sub-processors used for AI, email, messaging and payments, retention periods, and how to request access, correction or deletion.
Only strictly necessary cookies (authentication and security), preference storage (theme, board layout, filters) and privacy-respecting aggregate analytics are used. There are no advertising or cross-site tracking cookies.
The Calls page ranks who to phone next and logs the outcome in one click; it is a power dialler, nothing is dialled until a person presses the button. Daily targets set the calls and connected conversations expected of each rep, with an end-of-day check. Dashboard → By campaign shows one client at a time: calls, connected conversations, contact-score moves, stage moves, account coverage (companies with many calls to one person, most called, not yet called) and each rep's numbers. A client can be given a login that sees only their own campaign's dashboard.
Shared companies, private rep work, opportunities and custom fields
A workspace can share one record of each company and its people across campaigns while each rep's calls, notes, emails and opportunities stay private to their own leads. Opportunities are deals in progress on a company, several per company, opened on their own when a meeting is booked, with a kind (for example consulting, day-rate or recruitment fee) that sets how value is calculated. Admins set the workspace's own stage names, contact scores, call outcomes, deal kinds and currency (rand, pounds, dollars, euros or dirhams), and add custom fields on companies, people, opportunities and candidates, including pick lists and multi-select lists. The board filters by any custom field value.
Recruitment: candidates, CV search and public job pages
Naya CRM includes a recruiting module for teams that place people as well as sell. Candidates are a searchable pool: upload CVs and Naya reads them so a skill, tool, certification or city can be searched by name. Jobs get a public page (nayacrm.co.za/jobs/<role>) where people apply, and each job has a board of applications by step, with bulk email to a step. Candidates can be imported from a spreadsheet or a Teamtailor export, with custom fields per kind of candidate.
Report builder, forecast, Slack and the Claude connection
The report builder groups leads, deals, activities or opportunities by stage, rep, campaign, kind, month or outcome, as a count, total or average, and saves the result as a chart or table. Saved reports run on a schedule and arrive by email or in a Slack channel. The forecast uses stage durations and win rates to give expected revenue this month, weighted pipeline and typical time to close. In Slack, "/naya how did each campaign do this week?" or an @mention answers from the same read-only reporting tools, and a reporting key gives Claude the same read-only view. Reports use the workspace's own stage and score names and never include email addresses or phone numbers.
A rep can connect a Microsoft 365, Outlook.com or Gmail mailbox: emails to or from a lead are filed on the lead's timeline, read-only, and Naya never sends from that mailbox. An outside dialler such as JustCall posts each finished call and its outcome onto the lead. The public API covers leads, contacts, activities and inbound leads from website forms or products, with scoped API keys and outbound webhooks for Zapier, accounting and custom systems.
Each campaign can have a phone voice, cloned from a real person with their consent or a stock voice, speaking from that brand's Conversation DNA. Naya can answer the campaign's number as reception, ring a lead from the Calls page, hand a live call to the right rep with a one-line heads-up, and ring a person back when they ask for a call from an email. Naya never claims to be a person: it says it is the AI assistant whenever anyone asks, and by default also at the start of every call; a campaign can switch the opening line off. Every call has a transcript and a write-up on the lead. Automated marketing calls are regulated in most countries, so the advice is to start with follow-ups and inbound.
Won accounts move to Customers: a handoff record to delivery, a renewal date with reminders to the owner, a referral ask once the customer is happy, and support cases opened and closed against the account. Renewals and open cases also show on the dashboard.
Leads are standardised as they are saved and scored for completeness; duplicates are flagged for a person to merge and never deleted automatically. Data migration imports Salesforce exports, spreadsheets, CSV or SQL with a dry run first, and a Salesforce org kept per client becomes one company with a lead per client. An admin can export the whole workspace at any time, and a right-to-erasure tool removes one person from every table.
Naya CRM is built by Appetite Technology (Pty) Ltd, a self-funded software company founded in South Africa in 2012, serving sales teams worldwide. The philosophy is human-in-the-loop: the AI does the preparation, people make the decisions.
Teams of ten or more use the enterprise enquiry page (/enquire): say how many people sell, which CRM and phone setup you run today, pick a time, and the Zoom link comes straight back with a short overview attached; after the call you get the pricing guide with a seat-for-seat comparison and demo logins for a 14-day trial. For anything else use the contact page or email hello@appetitetech.com; sales hours are Monday to Friday, 08:00–17:00 SAST, and every message gets a reply within one business day.
